Committee Meeting Dates

The Awards and Scholarships Committee met two times (Dec 12th, and May 9th) during the academic year 2018-2019 to evaluate and recommend nominations for awards and scholarships.

Accomplished Items: The committee reviewed a total of 269 applications/nominations. This includes 83 Continuing Academic Merit Scholarships reviewed in May for the Fall 2019 semester.

 

A. Special Awards: 7 recipients chosen out of 20 applicants

  1. *John F. Kennedy Memorial Award ($1500) – given to Ronald Chan (out of five nominees), graduating students who have demonstrated outstanding leadership in the college and the community.
  2. *Martin Luther King Jr. Memorial Award ($1500) – given to Monique Fisher (out of four applicants), a graduating student who has demonstrated exceptional leadership in promoting racial harmony and appreciation of cultural diversity;
  3. *Ray Ricketts Memorial Award ($150) - given to Woochul Kim (out of four applicants), returning student (left college at one point) who exhibits exceptional scholarship and leadership;
  4. *Incentive Awards - Day and Evening ($250 each) – given to day and evening students:

Day: Meilun Difrancisco, Marsha Homer, Andrea Tucker (out of six applicants)

Evening: Matthew Dibono (out of one applicant) who have demonstrated outstanding academic performance and are working parents.

* The president’s office handles the JFK and MLK awards- the recipients’ names are printed in the commencement book and they are mailed a check, a certificate and a letter. The president’s liaison on the committee, Veronica Lukas, sends the information to Millie Conte of the presidents’ office.

 

Student Affairs handles the Ray Rickett’s award while Student Government handles the Day and Evening Incentive awards. The recipients’ names are printed in the commencement book and they are mailed a check, certificate and letter. Veronica Lukas sends the information to the VP for Student Affairs office.

 

B. Continuing Student Academic Merit Scholarship

This scholarship is given to current and continuing students who have demonstrated outstanding academic performance (a minimum cumulative GPA of 3.25 required). In the Fall 2019 semester awards of $1,000 each were given to 68 new and continuing students.  The committee reviewed 87 applications from continuing students and recommended 57. The applications of the qualifying incoming Freshmen are not reviewed by the committee. In the Spring 2019 semester awards of $1,000 each were given to 72 students (new applicants as well as Fall 2019 applicants qualifying for continued funding in the Spring).  The committee reviewed 79 applications for the Spring 2019 merit scholarship and recommended 69 for the scholarship.

Accomplishments

  1. The committee reviewed 166 Continuing Academic Merit Scholarship applications, below the 179 reviewed the previous year. We had 140 students receive a merit scholarship of $1000, down from 183 the previous year.  

 

  1. The list of final recipients of awards was received in digital format by the chair in mid September. This list, from Charles Petz, continues to improve in readability.

     

  2. The committee is again able to report on all of the awards and scholarships offered by the college and their dollar amounts (see Appendix 1). The data was obtained from Charles Petz, Database Manager, Office of Institutional Advancement.

 

  1. The committee was able to make the 2017-2018 annual report ADA compliant. In October 2018, Christopher Roblodowski, along with Dugwon Seo, attended an ADA compliance faculty training session hosted by the Academic Senate Steering Committee. Additionally, Christopher met with Tania Kalaitzidis from CUNY Assistive Technology Services (CATS). They went over the document and she made several helpful suggestions. After incorporating the recommended changes, he used the Accessibility checker and confirmed the document’s ADA compliance with Dave Moretti, director of web services. He then sent the final version to the Academic Senate Steering Committee. The committee used the 2017-2018 annual as a template for the 2018-2019 annual report in order to satisfy ADA compliance requirements.

 

  1. The committee was able to address the issue of ADA compliance for the agenda and minutes as well. The committee had previously used a three-column tabular format for the minutes, which was not ADA compliant. Christopher Roblodowski met with Dave Moretti on November 2018 to come up with a new template for the committee’s minutes. Creating a format that would both maintain the three- column format and satisfy ADA compliance proved challenging. As a result, Dave designed a simpler format and Chris emailed a template that incorporated the new format to the other members for review prior to The December 2018 meeting. This new template was discussed and adopted during that meeting. The committee has since used this format to write the minutes and to make past minutes ADA compliant.

 

  1. Addressing a recommendation from the previous academic year, the committee continued to explore ways of improving the screening of applications for the Merit scholarship. Firstly, the committee used an expanded summary list of merit scholarship student requirements for evaluating Spring 2019 scholarship applications. This proved helpful to streamline the evaluation process. Secondly, the committee started adopting an expansion to their recommendation choices with the evaluation of Spring 2019 Merit scholarships during the December 2018 meeting. These new recommendations were ‘accepted but pending’ and ‘denied but pending.’ Committee members discussed these and came to the agreement that these needed to be simplified. As a result, we simplified these two recommendations to a single recommendation of simply ‘pending.’ Thirdly, Anissa Moody had designed an excel template prior to the December 2018 meeting that would sort through applications using our criteria. This template proved effective as it mostly agreed with the final decisions of the committee for the evaluation of the Spring 2019 Merit scholarships.

Challenges

  1. Obtaining data for the annual report of the committee in a timely manner could still be made more efficient.
  1. Since September 8, 2017, the administrative offices of Who's Who Among Students in American Universities and Colleges have been closed to undergo a review of the organization. Because of this, they did not take nominations for 2018 and 2019. Consequently, we once again did not meet in March. We have looked into an update of the status of the program, but no update has been provided by Who’s Who. Once Who’s Who resumes accepting nominations, we will revisit previous challenges regarding low applicant count and incomplete applications.
  1. The number of Special Award and Fall Merit scholarship applicants were lower than last year: 20 this year compared to 25 last year for the Special Awards and 83 this year compared to 87 last year for the Fall Merit scholarship.

Recommendations for Next Academic Year

 

  1. There continues to be a need for reception of award information in a timely manner. The committee chairperson should receive the list of final selections of awards and scholarships reviewed by the committee as soon as the final choices are made to prepare the report.

 

  1. As both the Fall Merit and Special Awards number of applicants dropped from the year before, there continues to be a need to improve how we advertise awards. Advertising at departmental meetings and events like Undergraduate research day could improve applicant counts.

 

  1. Academic Merit Scholarships:
  • The committee continued to discuss ways of improving the screening of applications for the Merit scholarship. Anissa Moody’s excel template was useful as a basis for comparison to our evaluations. There is potential to further explore streamlining the Merit scholarship evaluation process through the creation of macros in Excel that will prefilter applications by factors such as GPA, and QCC credits completed.

 

  1. Special Awards:
  • There continues to be a need to verify account and balances of awards. The executive assistant to the Vice President should be contacted before the next call for Special awards.
  • The John F. Kennedy Award and the Martin Luther King Memorial Award accounts are empty. However, the president continues to fund them through other monies because of the significance of the awards.
  1. Additional awards:

When she was a member of the committee, Sharon Lall-Ramnarine had brought up the idea of creating new institutional or departmental awards since the eligibility of the Special Awards is very limited. This is not something we have addressed but may consider in the future. As mentioned by Veronika Lucas, such matters would have to be addressed and decided on by the president.

 

  1. Posting of documents onto the college website:

We had paused posting documents onto the college website because we were working on templates to make our documents ADA compliant and ready to be posted. Now that we have reliable, ADA compliant templates for minutes, agendas, and annual reports, we will use them for all future documents. Furthermore, we will post current documents onto the college website. The incoming chair and secretary plan to attend Cascade server training in order learn how to post documents. They will also continue to work on converting some of the older documents.  Anissa Moody’s recommendation of the creation of macros in Excel to make documents ADA compliant may be considered for implementation at a later point.

 

  1. Shared Network Drive needed: As stated previously, this committee continues to need access to a shared network drive for digital file sharing as a means of collecting applications. The committee does have a Blackboard site but it was never utilized for this purpose. Google Drive or Dropbox may be preferred.

 

  1. Dates for advertising or soliciting applications and recommendations for awards and scholarships:
  • The Spring 2020 Continuing Student Academic Merit Scholarships need to be advertised early in the Fall 2019 semester. Ideally, the committee should meet in December 2019 to vote on these.
  • The Fall 2020 Continuing Academic Merit Scholarships and Special Awards need to be advertised in April 2020. Ideally, the committee should meet in May 2020 to vote on both of these.


Acknowledgments

Dugwon Seo continued to serve as secretary of the committee. The one meeting she missed was due to a medical emergency. She provided her voting sheet in this case and continued to be important to our evaluations. Ewa Stelmach (Dabkowska) continued to make great contributions to the committee. She was instrumental in evaluating the expanded recommendations for the Merit scholarship and suggested we simplify the process by limiting two pending recommendations to one. She has continued to be diligent in her evaluations of student applications and always provides excellent insights during our deliberations. She has attended every meeting since she joined the committee.  Anissa Moody was helpful in creating an excel template as a reference for comparison of our recommendations for the Merit scholarship. Benjamin Miller has provided great help in discussions of candidates for Special Awards. He has been diligent in his analysis of documents prior to our meetings. Sujun Wei has been a key member during this academic year. He took the minutes for the December 2018 meeting when Dugwon had to cancel due to a medical emergency. He also took the minutes for the May 2019 meeting when Dugwon had to leave early to teach a class. He is a careful notetaker and quickly adapted to the new ADA compliant template for the minutes.

The committee would like to give a special thanks to Veronica Lukas and her staff for their meticulous work throughout the year by reserving the meeting room, setting up lunch, advertising the awards, and compiling all the applications for review.

We would also like to thank Dave Moretti and Athanasia Kalaitzidis for sharing their expertise in ADA compliance.

 

We would like to acknowledge the two outgoing members, Christopher Roblodowski and Dugwon Seo for their many productive years of service on this committee as chair and secretary.
