The Academic Senate Committee on Committee on Assessment & Institutional Effectiveness met on November 13, 2019 at 12:10PM in M340


Committee Members in Attendance:

Business:

The meeting was called to order at 12:10 PM

  1. Motions by Barbara Rome to approve the minutes of the last meeting and agenda for this meeting. Second by Mi-Seon Kim. Approved unanimously.
  2. Kevin Kolack will contact Raul Armendariz to determine if he wishes to resign since the meetings conflict with his class schedule, will reach out to the CoC for clarity on whether Stephen Hammell remains their designee or if it is someone else and to check the status of naming a replacement for Bjorn Berkout who resigned last year after being elected Chair of the music department, and will check back in with the Steering Committee for their designee and concerning the status of student representatives to this Committee.
  3. The Committee reviewed the "Year-end Report - Teaching Department Checklist" and "Holistic Rubric for Teaching Department Reports" to train new Committee members in their use when reviewing the departmental year-end reports, as assigned at the last meeting.
    1. The most updated versions of these documents will be added to the Committee website by B. Rome or K. Kolack.
    2. The Committee also reviewed how to access the departmental year-end reports from the Office of Institutional Research website (login required), and the Assessment sections of the reports which are the subject of our review (E1, E2a, E2b, E3a, E3b).
  4. As Whan Ki Lee reviewed his reports (Bio, Art) with the Committee, there was discussion that these reports go nowhere, not even the Committee website. Only a general report is made to the Senate. Thus, departments who are "not writing good year-end reports" may not even be aware they are doing so.
    1. The goals of the template (overall, but specifically some column headings) weren't fully clear among the Committee members, so department Chairs cannot really be blamed for any existing confusion.
    2. The "evaluation of assessment results" column is especially problematic, perhaps due to the lack of a "course objectives" column following the Gen. Ed. and Program Outcomes columns.
    3. The Committee is going to suggest to Arthur Corradetti that the template be changed to landscape for readability and ease of use, add a "course objectives" column, and to rename the problematic column "data analysis and findings."
    4. A sample of/guidelines for filling out these sections will be developed by the Committee and disseminated to the departments, possibly via Arthur Corradetti's office.
  5. Kevin reviewed his reports (English/Engineering) with the Committee.
  6. Committee members will have the rubrics for their assigned departments completed by the next meeting.
  7. The Committee will focus on reaching out to departments that are in need of improvement.
  8. Ian Beckford will send out the survey to department Chairs asking for the assessment procedures in each department.
  9. The next meeting will be 12/11/19 at 12:10PM in room M340.
  10. The meeting was adjourned at 1:20PM.
