                                                            Minutes of Publications Committee First Meeting (2018-2019)

 

Meeting date:  Tuesday, October 30, 2018

Time:                   4:00pm-5:00pm

1. Welcoming of Publications Committee Members for the 2018-2019 Year

  • Mohammad Javdan called the meeting to order. All members present introduced themselves, including Aviva Geismar who participated by conference call. Then, Mohammed informed members that he did not receive from Frank Jacobs, the immediate past chair of the publications Committee, the 2017-2018 annual report and minutes of the last meeting of Wednesday, May 16, 2018.

2.  Reason for Having the First Meeting in October 2018

  • Mohammad Javdan explained to members that he could not call for a meeting earlier, because he needed time first to complete certain formalities with Dr. Joel Kuszai, chair, and Dr. Jannette Urciuoli, secretary, of the Senate Steering Committee.

3. Visit of the Senate Steering Committee (SSC)

  •  Jannette Urciuoli (secretary, Senate Steering Committee) and Steven Dahlke (v. chair, Senate Steering Committee) attended the meeting to familiarize the committee with the Senate Steering Committee activity. The Senate Steering Committee acts as a liaison between the administration and college Senate and, in particular, works with all committees to ensure that they carry out their task well. Steven Dahlke told committee members to endeavor to reach out to the Senate Steering Committee for any issues or questions that they may have on committee duties. Also, Jannette Urciuoli apprised members that all documents sent out for uploading to the college website must comply with the Americans with Disabilities Act (ADA). As a result, an ADA compliant training has been scheduled for Monday, November 12, 2018, by 12PM-2PM, or Wednesday, November 14, 2018, by 2PM-4PM; the committee chair and secretary have been invited to attend.

4. Publications Committee Charges for 2018-2019 Year

  • Aviva Geismar asked to know what committee’s charges were. Given that there was no annual report which provides ongoing working guidance for the committee, Jannette Urciuoli advised the committee to identify what charges it would like to take on, based on the 2017-2018 Academic Senate Standing Committee Activities form  and reviewing past minutes for guidance. 

5. New Business

  • A rubric will be created for webpage evaluation and will be given to departments for review in January, 2019. Aviva Geismar asked why the committee needed the rubric? Mohammad Javdan informed that the rubric would ensure uniformity of webpage-evaluation criteria across all departments.
  • The 2017-2018 annual report will be prepared, latest by January, 2019, because the past chair did not prepare any report. Steven Dahlke advised the committee to prepare the report using summarized minutes of meetings rather than full minutes.
  • An email will be sent out by Mohammad Javdan to request of members to forward the list of tasks that they performed under the past chair, Frank Jacobs; he may check past minutes to identify whom specific tasks were assigned.
  • The list of webmasters will be compiled. Stephen Didio will go through past chair’s emails for the list of webmasters. Kwang Hyun Kim might have a partial list of webmasters and will share it. Aviva Geismar will contact department chairs to get the list of webmasters.
  • A member will be selected to serve as a webmaster in the next meeting.
  • Chukwudi Ikwueze will represent the chair at the Academic Senate

6.  Mohammad Javdan will send out a Doodle scheduler for members to select the date for the last committee meeting of the 2018 Fall Semester.
